SALARY: Level 5
QUALIFICATIONS:
- Skills to operate standard office equipment including use of basic computer software applications. Proper use of English in both written and verbal form, including correct spelling, grammar and punctuation.
- Must have courteous telephone etiquette; the ability to communicate effectively with school personnel, vendors, and have a good work attitude with a positive and pleasant disposition.
- Must be able to multi-task.
- Demonstrated aptitude or competence for assigned responsibilities.
- Ability to maintain confidentiality of information.
EDUCATION:
- High School Diploma or AA preferred.
REPORTS TO: Business Manager/Human Resources Director
PERFORMANCE RESPONSIBILITIES:
- Assist with answering switchboard calls in a courteous manner and transfer calls to appropriate parties.
- Greet and direct public to appropriate offices.
- Monitor district-wide school staffing on AESOP and work with school secretarial staff and administrators to ensure all classrooms are staffed. Manage long-term absence substitute assignments.
- Administer school staff absence reviews for payroll purposes.
- Operate and maintain as the administrator contact person of AESOP for all school staff and along with the Applicant Tracking system.
- Assist with all Human Resources department operations including providing support to employees and applicants via phone, walk-in visits or email
- Review applications, conduct interviews, screenings, and check references on all substitute and substitute aide applicants.
- Complete hiring process for substitutes and substitute aides. (Orientation, Employee Handbook Review, Aesop Review and training, and process new hire paperwork.)
- Complete paperwork processing for all student workers, classroom volunteers, and Athletic staffing.
- Complete all new hire staff for both certified and classified positions.
- Enter and maintain all certified and classified employee data in AESOP and Visions.
- Conduct testing for classified staff as needed.
- Oversee mail sort
- Dispense hard paychecks to all staff members on scheduled pay out dates.
- Process staff and substitute employee ID badges
- File correspondence and other records in a prescribed manner.
- Update job descriptions and post open positions.
- Assemble and update new hire, volunteer, and student worker packets yearly
- Assist in fingerprinting new employees and volunteers.
- Assist in distribution of certification documents and/or forms.
- Disseminate all personnel forms to employees and departments.
- Assist in word processing/scanning of materials as needed.
- Become familiar with and assist other District Office staff with their responsible area as the need arises.
- Responsible for recording all staff certifications and education verifications.
- Maintain conference room scheduling for various meetings and district hearings
- Oversee appearance of the lobby and employee lounge.
- Other related clerical duties as assigned.

EVALUATION: Annually by the Business Manager/Human Resources Director
TERMS OF EMPLOYMENT: 12 months
