Job Advert: Virtual Personal Assistant (Remote, UK Hours) We are seeking a highly organised and proactive Virtual Personal Assistant to support our director when he is out on building sites and site visits. This role is remote and requires availability from 7 AM to late afternoon (UK time), Monday to Friday. Key Responsibilities: As a Virtual PA, you will handle various administrative tasks for a UK-based property company, ensuring smooth day-to-day operations. Your duties will include: Managing the director’s emails and admin tasks Responding to customer phone calls by email Calling customers back who need help with urgent issues Arranging maintenance work, including: Responding to customer emails requesting maintenance Coordinating contractors to attend, subject to landlord/line manager approval Handling Airbnb guest inquiries and requests via the Airbnb platform Updating Guesty (our property management software) with accurate listing information Drafting contracts for tenants and employees Responding to landlords, tenants, and staff inquiries professionally Using ChatGPT to generate professional responses in the director’s tone (checking key responses with him via WhatsApp) Creating a maintenance manual with FAQs within the first two months to streamline future inquiries Organising mail merges and distributing letters to UK customers for marketing campaigns Communicating with the director via WhatsApp or email for clarifications Ideal Candidate: Highly organised and able to work independently Strong written and verbal communication skills (fluent English required) Experienced in Airbnb, Guesty, and UK property management (or willing to learn) Confident using ChatGPT for drafting responses and admin support Excellent problem-solving skills and able to manage urgent customer issues Reliable and responsive during working hours Experience working for a UK property company is a bonus Technical Requirements: The ideal candidate should have excellent working knowledge of: Docusign WhatsApp LastPass Microsoft Outlook Microsoft Excel Microsoft Word Airbnb platform Additional Requirements: Candidates must be willing to submit ID and proof of address, as they may handle sensitive information.
